Help employees use information with context and care

AI assistance can be useful when staff spend time locating guidance, reading material or preparing a first draft. The design starts with the question, approved sources and the person who will use the result.

Focus on a bounded task

A policy question, a document summary and a draft member response need different information and review. We scope the task before choosing a model or interface, including the situations where the assistant should ask for help or decline to answer.

Potential requests include finding a relevant procedure, summarizing a packet for a reviewer, preparing a checklist or drafting content from approved material. A general promise to answer everything is not a useful acceptance criterion.

Keep the sources available

The user should be able to inspect the information behind an answer. Source ownership, version, access permissions and freshness matter. An assistant should make missing or conflicting guidance visible rather than create a confident answer without support.

Evaluate before widening use

Test representative questions, ambiguous requests and cases with insufficient evidence. Review answer usefulness, source support and failure behavior with the people who know the work. A technically successful demonstration does not establish that the assistant is reliable across the institution.

Keep action boundaries clear

Preparing a draft is different from sending a message, changing a record or making a member-impacting decision. Any connected action requires its own authorization and controls. Your staff remain responsible for the decisions assigned to them.
